Recall outreach for dealerships

Open recalls, booked by name.

A voicemail to every owner on your open-recall list, in your service team’s voice, naming their vehicle. They hear it on their own time and call the store to book the repair.

The campaign

Every open recall, followed up. In a voice the owner knows.

  1. The list.

Export the owners whose vehicles still need the remedy: names, numbers, vehicle and the recall’s short name if you want it spoken. Any system that exports a spreadsheet works.

  2. The message.

Say what matters in the first lines: there’s an open recall on their vehicle, the parts are in, how long the visit takes, and the number that books it. Short beats complete.

  3. The follow-through.

Owners who don’t call back get a second voicemail a few days later, and anyone who answers leaves the sequence. Pair it with a follow-up text and they can reply to book instead of calling.

Scripts

Open recall

As soon as the parts are in

“Hi Jordan, it’s Nicole at Hillside Auto service. There’s an open safety recall on your Malibu. The parts are here, and the repair takes about an hour. Call us back at 587-331-9189 and we’ll find a time that works for you.”

Recall with service due

When the recall and a service visit line up

“Hi Aisha, it’s Nicole at Hillside Auto. Your Escape has an open recall, and it’s also coming due for its oil change. We can do both in one visit. Call us back at 587-331-9189 and we’ll book it in.”

The second notice

A week later, to owners who haven’t called

“Hi Jordan, it’s Nicole again at Hillside Auto. I left you a message about the open recall on your Malibu. It’s still waiting, and we’d like to take care of it for you. Call us back at 587-331-9189.”

Questions

Asked by dealerships.

Ask us on a call

No. The manufacturer’s notice still goes out. A voicemail from your store is the follow-up that gets the visit booked: a voice the owner knows, their name and vehicle, and a number that rings your service desk.

From the system your store tracks open recalls in. Export the owners with an open recall as a spreadsheet, with names, numbers, vehicle and any detail you want spoken. Any system that exports a CSV works.

Only to people who gave your store permission to hear from it. Every list rests on your customers’ consent, and you confirm it for each list before a campaign can move on.

Someone at the service desk the owner may know: an advisor or the service manager. Every account includes three cloned voices, so the recall can speak in one voice and the sales event in another.

Every campaign follows the same rules: your customers’ permission comes first, a person on the team checks every campaign before it sends, voicemails go out only inside regulated calling hours, and an opt-out is honoured across your whole account. Nothing here is legal advice; for a question about your own list, ask the team. The rules themselves, in plain words: Are voicemail drops legal in Canada?

Yes. Add a campaign line to your account ($10 a month): one local number that signs your voicemails and, about seven to nine minutes after a delivered voicemail, sends a short text to mobiles only, between 9 AM and 9 PM their time. Replies land in your dashboard Inbox and your team answers from the same number. One STOP stops the texts and the voicemails together.

Nothing extra: it's included with every bundle. One credit per delivered voicemail covers the voicemail and its follow-up text, misses come back to your balance, and replies cost nothing. One text per voicemail, never a second.
