Service reminders

Service reminder scripts to start from. Service due, declined work and winter tires, in your advisor’s voice.

Service due

A week or two before the visit is due

“Hi Sarah, it’s Heather at Hillside Auto service. Your Equinox is coming due for its regular maintenance, and we have openings next week. Most visits take about an hour. Call me back at 587-331-9189 and I’ll get you booked in.”

Declined work

Three to four weeks after the visit

“Hi Marcus, it’s Dave at Hillside Auto service. When your Silverado was in, we flagged the rear brakes. No rush, but the estimate is still on file, and it’s worth doing before winter. Call me back at 587-331-9189 and we’ll get it done in one visit.”

The second reminder

A few days after the first, to anyone who hasn’t called

“Hi Sarah, it’s Heather again at Hillside Auto. Just making sure my message about your Equinox found you. I’m holding a couple of openings this week. Call me back at 587-331-9189 and I’ll find you a time.”

Winter tires

Tire changeover scripts to start from. Fall and spring changeovers, booked before the bay fills.

Fall, tires in storage

Before the first cold snap

“Hi Sarah, it’s Brett at Hillside Auto service. Your winter tires for the Equinox are here in storage, ready to go on. The bay books up fast once the first snow hits, so now’s the easy time. Call me back at 587-331-9189 and I’ll save you a spot.”

Fall, a new set

A week later, to customers without stored tires

“Hi Marcus, it’s Brett at Hillside Auto service. Winter’s on its way, and if your Silverado needs a set of winters this year, we can check your size and put them on in one visit. Call me back at 587-331-9189 and I’ll set it up.”

Spring swap

Once the roads are dry

“Hi Sarah, it’s Brett again at Hillside Auto. Spring’s here, so it’s time to get the summers back on your Equinox and the winters into storage until next year. Call me back at 587-331-9189 and we’ll find you a time.”

Service win-back

Service win-back scripts to start from. Customers you haven’t seen in a year or more, back in the bay.

First win-back

12 to 18 months since the last visit

“Hi Kevin, it’s Kristen at Hillside Auto service. It’s been a while since we saw your Tucson, and by now it’s probably due for an oil change and a tire rotation. We still have its full history on file. Call me back at 587-331-9189 and I’ll find you a time.”

With an open item

When the last visit left work on file

“Hi Linda, it’s Kristen at Hillside Auto. When your CR-V was last in, we noted the front brakes were getting close. It’s been about a year, so it’s worth a look. Call me back at 587-331-9189 and we’ll check it in one visit.”

The second try

Two to three weeks later, to anyone who hasn’t called

“Hi Kevin, it’s Kristen again at Hillside Auto. I left you a message about your Tucson. If you’ve found another shop, no problem, and if not, we’d love to see you back. Call me at 587-331-9189.”

Recall outreach

Recall voicemail scripts to start from. Every owner on the open-recall list, by name and vehicle.

Open recall

As soon as the parts are in

“Hi Jordan, it’s Nicole at Hillside Auto service. There’s an open safety recall on your Malibu. The parts are here, and the repair takes about an hour. Call us back at 587-331-9189 and we’ll find a time that works for you.”

Recall with service due

When the recall and a service visit line up

“Hi Aisha, it’s Nicole at Hillside Auto. Your Escape has an open recall, and it’s also coming due for its oil change. We can do both in one visit. Call us back at 587-331-9189 and we’ll book it in.”

The second notice

A week later, to owners who haven’t called

“Hi Jordan, it’s Nicole again at Hillside Auto. I left you a message about the open recall on your Malibu. It’s still waiting, and we’d like to take care of it for you. Call us back at 587-331-9189.”

Lease-end and trade-up

Lease-end and trade-up scripts to start from. Maturing leases and in-demand trades, by name, vehicle and month.

Lease end, first notice

Three to four months before maturity

“Hi Priya, it’s Walt at Hillside Auto. Your Rogue lease comes up in March, and you have more options than the paperwork shows: turn it in, buy it out, or move into something newer early. It’s worth ten minutes before the date decides for you. Call me back at 587-331-9189.”

Lease end, second notice

About 60 days out

“Hi Priya, it’s Walt again at Hillside Auto. Your lease ends in March, about two months from now. If you’d like to see your options side by side, I can have them ready before you come in. Call me back at 587-331-9189.”

Trade-up appraisal

Whenever a model is trading strong

“Hi Dan, it’s Jeff, general manager at Hillside Auto. Trucks like your Tacoma are trading strong right now, and you may have more equity than you think. An appraisal takes ten minutes, and the number is yours either way. Call me back at 587-331-9189.”

Sales events

Sales event scripts to start from. Year-end, model-year and clearance events, in the GM’s voice.

The invitation

Three to five days before the event

“Hi Priya, it’s Jeff, general manager at Hillside Auto. Our year-end event starts this Thursday and runs through January 31st, with our best offers of the year on new and pre-owned. If your Rogue is ready for an upgrade, I’d like to show you what it’s worth. Call me back at 587-331-9189.”

Model-year launch

When the new model lands

“Hi Dan, it’s Jeff at Hillside Auto. The new Tacoma is on our lot, and this weekend we’re showing it to owners first. Bring yours in and we’ll have its appraisal ready. Call me back at 587-331-9189 to pick a time.”

Final weekend

Before the last weekend, to anyone who hasn’t called

“Hi Priya, it’s Jeff again at Hillside Auto. Our year-end event wraps up this weekend, and I wanted you to hear it from me before it does. If you’d like to see your options for the Rogue, call me back at 587-331-9189.”

BDC follow-up

BDC follow-up scripts to start from. Leads who asked about a vehicle, followed up by name.

Internet lead

Three to five days after the last reply

“Hi Alex, it’s Megan at Hillside Auto. You asked about the RAV4 a few days ago, and I wanted to make sure you got everything you needed. It’s still here, and I can hold a test drive for you this week. Call me back at 587-331-9189.”

After a showroom visit

Two or three days after the visit

“Hi Chris, it’s Megan at Hillside Auto. Thanks for coming in to see the Ascent on Saturday. If you’re still weighing it up, I’m happy to go over the numbers again or line up a second drive. Call me back at 587-331-9189.”

The last check-in

Two weeks later, to leads who haven’t answered

“Hi Alex, it’s Megan again at Hillside Auto. I don’t want to crowd you, so this is my last message about the RAV4. If you’re still looking, I’d love to help. Call me at 587-331-9189 whenever it suits you.”

What works

What makes a dealership voicemail work. Six rules every script here follows.

  1. Their name first.

Say the customer’s name in the first words, then who’s calling and from where. It’s the line that tells them the message is theirs.

  2. One reason.

One reason to call back that’s true for that customer: the service that’s due, the open recall, the month the lease ends. A list of specials is an ad.

  3. Under 30 seconds.

Most scripts here run about 15 to 25 seconds out loud. Short beats complete: the visit is where the details go.

  4. A voice they know.

The advisor, the service manager, the GM or the consultant they spoke to, by name. A voice from the store reads as a message, not a broadcast.

  5. One next step.

Book the visit, hold the test drive, see the options. Ask for one thing, and make it easy to say yes to on the phone.

  6. The number, clearly.

End on one number that rings the right desk, said in groups. Every voicemail here ends on the number you choose.

Questions

Asked by dealerships.

Ask us on a call

About 15 to 30 seconds out loud: the customer’s name, who’s calling, one reason and one number. Every script here fits, and you hear the real take before you approve it, so a script that runs long is easy to trim.

Yes. Change the store’s name and the number, keep the green words as columns on your list, and send. Or start from one and make it sound like your store: you hear real takes in the voice you pick before anything sends.

Any column on your list: first name, vehicle, the service that’s due, the advisor’s name, the month a lease ends, the day they came in. A message for each customer costs the same credits as one take for everyone.

Say the reason and keep the details for the call. A spoken price is hard to remember and easy to mishear; the callback is where your team gives the full offer and answers questions.

Every campaign follows the same rules: your customers’ permission comes first, a person on the team checks every campaign before it sends, voicemails go out only inside regulated calling hours, and an opt-out is honoured across your whole account. Nothing here is legal advice; for a question about your own list, ask the team. The rules themselves, in plain words: Are voicemail drops legal in Canada?

Voicemail from Hillside Auto0:19

“Hi Sarah, it’s Heather at Hillside Auto. Your Equinox is coming due for its regular service: oil, filters and a proper once-over before road trip season. We’ve got openings next week, and it’s usually about an hour. Call me back at 587-331-9189 and I’ll get you booked in.”

A twenty-minute walk-through on Zoom: the dashboard, a campaign, your questions. Nothing is sent to your list.
