Merge fields

Put each contact's own details, such as their first name or their vehicle, into the voicemail, give a blank a word to say, and fix what the builder flags.

A merge field puts a detail from your list into the voicemail, so each contact hears their own: their first name, their vehicle, their last service date. You add them on the Voice and message step, in a campaign whose message is A message for each lead.

Before you start

Add a detail to the script

  1. On Voice and message, place the cursor in Voicemail script where the detail goes.

  2. Select the detail's button under the script. The first few columns have a button each. The rest are under More details.

  3. The detail appears in the script as a pill with the column's name.

What you see

In the preview, Script shows the words with the first contact's details filled in and marked. Previous lead and Next lead move through your list, and the line over the phone says which lead you are on.

  • The details you mapped on Map (first name, business, vehicle) come first, then the rest in your file's order.

  • The phone column is not offered. The number is dialled, never said.

  • Before a list is uploaded, the builder says "Upload a list first: its columns are the details a script can say."

Give a blank a word

Some contacts may have an empty cell in a detail you used. The builder lists each such detail under When a contact has a blank, with how many contacts have none.

  1. Type a word or a short phrase in the box beside the detail. For a name, "there" is a good choice.

  2. That word is said instead, wherever the detail sits, for every contact whose cell is blank.

What you see

The pill in the script shows the word beside the column's name. If the script has no room left for the word, the row says "No room for it: shorten the words first."

If a detail is blank and has no word, it is left out, and the punctuation around it is tidied so nobody hears a stray comma. If that leaves some contacts with almost nothing to hear, the builder says how many, and Next waits until each detail has a word.

A blank in the middle of a sentence

A detail with no word that sits inside a sentence, such as after "your" or between two words, would leave the sentence broken for a contact whose cell is blank. The builder shows a notice for each one: how many contacts have no value in that column, and what the first of them would hear.

  1. Read the notice. Its title reads like "contacts have no Vehicle", with the count.

  2. Choose one:

    • Say and the word it offers: "vehicle" for the column you set as Vehicle or product, "your business" for Business, "there" for a name, and the column's own name in lower case for any other detail.

    • Say nothing there: the voicemail says nothing in that place for those contacts. The pill shows "or nothing" beside the column's name.

Next waits until you choose, and the foot of the step says "Choose what to say when" and the column's name, "is blank".

Write a detail by hand

In the script, a detail is stored as the column's name in double braces. You never have to type one, but a script you paste in can carry them:

WrittenSaid
{{first_name}}The contact's value in the First Name column.
{{first_name|there}}The value, or "there" when the cell is blank.
{{vehicle|}}The value, or nothing when the cell is blank. Say nothing there writes this.
{{Vehicle spoken}}The same as {{vehicle_spoken}}: a detail written the way the column reads works too.

The name inside the braces is the column's name in lower case, with accents dropped and spaces and signs turned into underscores: Prénom is {{prenom}}. A script saved with the older spelling, such as {{pr_nom}}, still works. Paste a script that holds details in braces and the builder shows each one as a pill.

Fix what the builder flags

Next waits until each of these is fixed.

NoticeWhat to do
One detail is not in your listThe detail would play silent in every voicemail. Select Did you mean and the column it offers, or take the detail out. If the detail is a column you unticked on Map, the button reads Include with the column's name and again, and brings the column back.
A brace is left openThe voice would read a stray brace aloud. Take it out, or add the detail with the buttons under the script.
One take for everyone has no variablesWrite the message without details, or switch to A message for each lead.
A count of contacts with no value for a detailThe detail sits inside a sentence with no word for a blank. Choose Say and the word it offers, or Say nothing there. See A blank in the middle of a sentence.
Voicemails that come out over 700 charactersEach contact's voicemail is checked with their details filled in. Shorten the script, or, when one long cell is the cause, leave that contact out or leave that detail unsaid for them. See Write a script people call back.

Good to know

  • Details work the same way in the follow-up text, with Add a detail to the text. The text adds two details no list holds: Your business and Your campaign line. See The follow-up text.

  • Both message modes cost the same: one credit for each delivered voicemail, from the same balance.

  • Did you mean never offers a last-name column for a first name, or the reverse, and never offers a column that Map uses for something else when the detail reads as another use.

  • How people are greeted depends on the column you set as First name. See Greeting people by first name.
