The Call Guy

Prepare your list

What a contact list needs before you upload it: permission, one contact per row, a phone column, and the details your voicemail will say.

Every campaign starts with a list of your contacts. A few minutes in your spreadsheet before you upload saves a second upload later. This page says what the builder looks for.

Before you start

  • Every contact on the list has given the permission needed to receive prerecorded voicemail messages from your business. You confirm this with a tick box on the Audience step before you can go on. See Consent comes first.

  • Your contacts are in Canada. A number outside Canada is set aside and never called. See Across Canada.

Export the list

  1. Export your contacts from your CRM or spreadsheet as CSV or Excel (.xlsx).

  2. Keep the column names in the first row. Each row under it holds one contact. A report title or an export line above the column names is fine: the builder skips it.

  3. Put each contact's phone number in a column of its own, one number per row.

  4. Keep the columns your voicemail will say: a first name, and anything else you want to mention, such as a vehicle or a last service date.

The columns that help

ColumnWhy it helps
A phone numberRequired. It is the number we call. The builder finds it by its name (Phone, Mobile, Cell, Telephone) and by the numbers in it.
A first nameThe voicemail and the follow-up text can greet each person by name.
A phone typeValues such as Cell, Mobile, Home or Landline tell the builder which numbers are mobiles. Only mobiles get the follow-up text.
A vehicle or productWhat the contact owns or asked about. A column your team wrote for the voice, such as "Vehicle spoken", is picked over the plain vehicle column.
A business nameFor a list of businesses rather than people.
Anything elseAny column you include can be said in the voicemail.

When a list has both a home number and a mobile number, the builder calls the mobile, because the follow-up text reaches mobiles only. You can change that on Map. See Match your columns.

Start from the template

  1. On the Audience step, select Download the template.

  2. Open call-guy-lead-template.csv. Its columns are First Name, Last Name, Phone, Vehicle and Last Service.

  3. Replace its rows with your own contacts. The rows in the template are made-up examples.

Phone numbers

  • Brackets, dashes, spaces and a leading 1 are all fine. A number is read as ten digits.

  • A number Excel stored as a number (with a trailing ".0", or in scientific notation) is read back as the number it means, as long as every digit is there. If Excel cut digits off, the row is set aside as "Shortened by Excel (format the column as text)": fix the number in your file.

  • A number with an extension after it, or a cell with two numbers in it, is set aside, and its reason says which.

  • A number with another country's code is set aside as outside Canada.

  • Toll-free and premium-rate numbers are set aside. They are service lines, not a person's phone.

  • If the same number is on the list twice, the first row is kept and the second is set aside.

See Why some contacts are set aside for every reason.

How big a list can be

  • One file can be up to 20 MB and 10,000 rows. For a longer list, split it into two files and run two campaigns.

  • A campaign needs at least 25 contacts with a number we can call.

  • If an Excel file has several sheets, the builder reads the first sheet that holds a table. Put your list on the first sheet to be sure.

Good to know

  • Want someone to look at the list first? On the help page, Build it with us has Check my list: numbers, columns and permission, before you upload. See Get help from the team.

  • While you build, your list stays in your browser. See Who sees your list.
