I paid, and my credits aren't there yet

Credits land once QuickBooks reports the invoice paid in full. What to check when they haven't arrived yet, and when the team steps in.

You pay a bundle's invoice on Intuit's QuickBooks page. The credits are added to your balance once QuickBooks reports the invoice paid in full. Most of the time that happens on its own. Here is what to check when it hasn't.

Before you start

  • The account owner buys credits and pays invoices. For a store in a dealer group, the group's owner can too. On a teammate's seat, Pay now is greyed out and marked "Account owner".

Check the invoice

  1. Open Billing, then Invoices.

  2. Find the invoice and open it from its menu with View invoice (View receipt once it is paid).

  3. Read its status and the steps under the amount.

What you see

one of three states.

StatusWhat it meansWhat to do
Paid"QuickBooks confirmed the payment."Check your balance on Billing. If the credits are still missing, see below.
OpenThe last step reads "Paid through QuickBooks" with "Waiting on payment": QuickBooks has not reported the payment yet.If you paid, wait a little and look again. If you have not paid, select Pay now.
Voided"Voided in QuickBooks. Nothing is owed on it."Nothing to pay. Buy a bundle again if you need credits.

Why credits can be slower to land

  • Credits are added when QuickBooks tells us the invoice is paid. If that notice is missed, an hourly check of recent invoices picks it up.

  • The invoice must be paid in full. A part payment adds no credits until the rest is paid.

  • The invoice's total must match the bundle's published price. An invoice that was changed after it was sent is not credited on its own, and the team is told.

  • An invoice for a bundle we no longer sell has no Pay now button and adds no credits. It reads "This invoice is for a bundle we no longer sell, so it has no Pay door. The team behind The Call Guy will void it."

Still missing

Email contact@thecallguy.ca with the invoice number. When a paid invoice can't be credited on its own, the team is alerted and follows up.

Good to know

  • A paid invoice is your receipt. Receipt PDF downloads QuickBooks' own copy.

  • Credits are added once per invoice. A payment noticed twice never adds them twice.

  • Credits last 12 months from purchase, and a credit is spent only on a delivered voicemail.
