Billing across stores

A group's stores spend one shared balance, bought on one store, with each store's spend shown; line numbers stay each store's.

A dealer group's stores spend from one balance of credits. Credits are bought on one store, the group's billing store, and Billing shows what each store spent. Each store's campaign line numbers stay its own, with their own invoice.

How a group pays

  • One balance for the group. A new group shares one balance. Every store's campaigns spend from it.

  • Bought on the billing store. The group's credits are bought on one of its stores, its billing store. When the group's owner's own store is one of the group's, it starts as the billing store.

  • One invoice per purchase. Each purchase is one QuickBooks invoice, paid through Intuit. The group's invoice goes to the billing store's email.

  • Spend shown by store. Billing splits what was delivered this month by store, and each line of its activity names the store that spent it.

  • Credits work as they always do. A credit is spent only on a delivered voicemail. Misses return to the balance on their own, and credits last 12 months from purchase. See How credits work.

See the group's balance

  1. Open Billing in the sidebar.

What you see

the balance, marked as shared by your stores, then Set aside and Ready to send. How you pay: QuickBooks says "The group's invoice goes to" the billing store's email.

  1. Select Show by store to see what each store delivered this month.

On All stores, the All stores row shows the one balance as shared credits. See All stores at a glance.

Buy credits for the group

  1. Open Billing on any store and select Buy credits.

  2. If you can buy and you are on another store, the dashboard opens the billing store for you, with the message "the group's credits are bought there".

  3. Pick a bundle and pay its invoice, as on any account. See Buy credits.

What you see

once the invoice is paid, the credits land on the group's one balance, and every store can spend them.

Who can buy

  • The group's owner.

  • Whoever signs in with the billing store's own email.

  • A group's Admins and Members never buy, on any store.

Credits set aside across the group

Set aside on Billing is the credits every store's sends in progress will use: voicemails on their way, and voicemails delivered but not yet charged. Before a campaign goes out, its list is checked against what is left for the whole group. So one store's sends can leave less ready for the others. Ready to send is what every store can still use. See When credits run short.

When each store pays for itself

The team behind The Call Guy can set a group so each store keeps its own credits instead. There is no switch for this in the dashboard: ask the team.

When each store pays for itself:

  • Each store has its own balance, and spends only its own credits.

  • You buy for a store from that store's Billing. The group's owner can buy for any store in the group.

  • How you pay: QuickBooks says "Each store's invoice goes to that store's own email."

  • A store added from the dashboard has no email address of its own. Its invoices go to its Store email, or to the group's owner until it has one, and it needs no confirmation first. See Add another store.

  • A store with an email address of its own gets its invoices there, so that email must be confirmed first. If it isn't, the page offers to send the store's confirmation link again.

  • After you buy, the dialog says where QuickBooks emailed the invoice.

What stays with each store

  • Campaign line numbers. Each store's numbers, and their monthly invoice, are that store's own. See Paying for your campaign line. The group's owner can move a number to another store, and its invoices follow it. See Move a number to another store.

  • Everything else on its campaigns. Each campaign belongs to its store, and the credits it spends show under that store.

Good to know

  • A store added to a group with one balance brings no credits of its own. The Add a store dialog says it "spends from the group's one balance".

  • When you turn your own account into a group, your store becomes the billing store, and its credits become the group's one balance.

  • You buy credits before a campaign, and a campaign spends only on what is delivered. See No surprise bills.
