The emails a campaign sends you

The emails you get as a campaign moves through review, goes out, waits on credits and finishes, and what each one holds.

A campaign emails you at each step that matters: when our team has reviewed it, when its recordings are ready, when it starts going out, if it waits on credits, and when it has its final result. Each email names the campaign and links straight to its page.

Who gets them

  • The emails go to the workspace owner's email address. A teammate who builds a campaign does not get them; the owner does.

  • A store a dealer group added in the dashboard has no email of its own. Its emails go to the store's Store email on its settings page, or to the group's owner until one is added. See Add a store.

  • They come from The Call Guy. A reply reaches the team at contact@thecallguy.ca.

  • Each email is sent once for the moment it reports, never twice.

When our team has reviewed it

Our team reviews every campaign before it sends, unless your store chose Send on my own. When the review ends, you get one of two emails.

"Your campaign is approved", followed by the campaign's name:

  • It says the script and the list check out, and that audio production starts now.

  • It shows Campaign and Planned delivery, the day and the time you asked for.

  • Open your campaign opens its page. Reply if anything about the plan should change.

"Your campaign needs a quick change", followed by the campaign's name:

  • It names, in our team's words, the one thing that needs adjusting.

  • Reply with the fix, or change the campaign from your dashboard and send it back. Open your dashboard takes you there.

  • See Change or cancel a campaign.

A campaign put on hold sends no email. The reason shows on the campaign's page. See On hold.

When the recordings are ready

"Your recordings are ready", followed by the campaign's name:

When it starts going out

"Your campaign is going out", followed by the campaign's name. It comes once the first voicemails are handed over.

  • It shows Campaign, On the list (how many contacts) and Started, with the day and time in your business's time zone.

  • On your campaign line, it gives the number people reach when they call back, and says mobile numbers get one follow-up text once their voicemail is delivered.

  • It repeats that you only pay for voicemails that are delivered.

  • Follow it live opens the campaign's page, which updates while it sends.

If it waits on credits

A campaign never sends more voicemails than your credits cover. When the rest of a list has to wait for credits, you get one email:

"Your campaign is waiting on credits", followed by the campaign's name:

In a dealer group that shares its credits, the store that pays for them gets an email too when another store's campaign waits on the shared credits. See Billing across stores.

When it has its final result

When every voicemail has its final result, you get the campaign's statement. It comes two hours after the last result, so the first callbacks are counted, and only during the day on your business's clock.

The subject is the number of voicemails delivered, followed by the campaign's name. It holds:

  • Delivered: how many were delivered out of the list, and the share.

  • Not delivered: the voicemails that came back, marked "not charged".

  • Credits used: one for each delivered voicemail.

  • Credits left: your balance, once the campaign's whole charge has come out.

  • On your campaign line, so far: Callbacks so far, Missed callbacks, Follow-up texts sent, Text replies and Leads sent to your CRM, each only where it applies. Calls to your campaign line. Counts calls to that number only.

See every result opens the campaign's page. Calls and replies keep coming in for days after a campaign, and the page counts each one as it arrives. Reply to the email to go over the results or plan the next one.

Good to know

  • The figures in each email come from the campaign's own records. A figure the records do not hold is left out, never shown as zero.

  • A voicemail that came back costs nothing. See Delivered, returned and to go.

  • Alerts about replies, missed callbacks and leads on your campaign line are separate from these emails. See Alerts and the daily summary.
