The campaign

One lapsed list, worked in order. The most recent first.

  1. The list.

Export the customers whose last service visit was 12 to 24 months ago: names, numbers, vehicle and the date of the last visit. Start with the most recent; they’re the easiest to bring back.

  2. The reason.

Give each one a reason that’s true for them: the maintenance their vehicle is due for by now, an open item from the last visit, or an offer your store is running. Say it in the first two lines.

  3. The answer.

The callback rings your service desk, and anyone who books, replies or opts out leaves the sequence. Add a campaign line and they can reply to a short text to book.

Scripts

Service win-back scripts to start from. The green words come from your list.

First win-back

12 to 18 months since the last visit

“Hi Kevin, it’s Kristen at Hillside Auto service. It’s been a while since we saw your Tucson, and by now it’s probably due for an oil change and a tire rotation. We still have its full history on file. Call me back at 587-331-9189 and I’ll find you a time.”

With an open item

When the last visit left work on file

“Hi Linda, it’s Kristen at Hillside Auto. When your CR-V was last in, we noted the front brakes were getting close. It’s been about a year, so it’s worth a look. Call me back at 587-331-9189 and we’ll check it in one visit.”

The second try

Two to three weeks later, to anyone who hasn’t called

“Hi Kevin, it’s Kristen again at Hillside Auto. I left you a message about your Tucson. If you’ve found another shop, no problem, and if not, we’d love to see you back. Call me at 587-331-9189.”

Questions

Asked by dealerships.

Ask us on a call

Most stores use 12 to 24 months since the last service visit. Past two years, many have moved or changed vehicles, so start with the most recent and work back. Your DMS can export the list with each customer’s last visit date.

One reason that’s true for that customer: the maintenance their vehicle is due for, an open item from the last visit, or an offer your store is running. One reason and one number to call reads better than a list of specials.

Only to people who gave your store permission to hear from it. You confirm consent for each list before a campaign can move on, and anyone who has opted out is never sent another voicemail from your account.

The service manager, or the advisor most customers know. Every account includes three cloned voices, so the win-back can speak in one voice and the tire reminder in another.

Every campaign follows the same rules: your customers’ permission comes first, a person on the team checks every campaign before it sends, voicemails go out only inside regulated calling hours, and an opt-out is honoured across your whole account. Nothing here is legal advice; for a question about your own list, ask the team. The rules themselves, in plain words: Are voicemail drops legal in Canada?

Yes. Add a campaign line to your account ($10 a month): one local number that signs your voicemails and, about seven to nine minutes after a delivered voicemail, sends a short text to mobiles only, between 9 AM and 9 PM their time. Replies land in your dashboard Inbox and your team answers from the same number. One STOP stops the texts and the voicemails together.

Nothing extra: it's included with every bundle. One credit per delivered voicemail covers the voicemail and its follow-up text, misses come back to your balance, and replies cost nothing. One text per voicemail, never a second.
