“Hi Sarah, it’s Heather at Hillside Auto. Your Equinox is coming due for its regular service — oil, filters, and a proper once-over before road-trip season. We’ve got openings next week, and…

“Hi Marcus, it’s Dave at Hillside Auto service. When your truck was in last month, we flagged the rear brakes — they had some life left, so no panic, but they’re on…

Winter tire changeoverBrett · 0:19

“Hi, it’s Brett at Hillside Auto service. First cold snap’s coming, and the tire bay goes from quiet to fully booked in about a week — same thing every year. If your winters are…

Every take here is a real render in a house voice. Yours send in your voice or your team’s.

The campaign

One list, one script, one sign-off. Then the calls come to the service desk.

  1. The list.

Export this month’s service-due customers from your DMS as a spreadsheet: names, mobile numbers and the fields you want spoken, like vehicle, advisor and the service that’s due. Any system that exports a CSV works.

  2. The timing.

A common rhythm: the reminder a week or two before the visit is due, then one follow-up voicemail a few days later to the customers who haven’t called back. Declined work goes out a few weeks after the visit; winter tires, before the first cold snap.

  3. The answer.

Every voicemail ends on the number you choose, so the call rings the service desk or the BDC, not a call centre. Add a campaign line and a short text follows each delivered voicemail, so customers can reply instead of calling.

Scripts

Service reminder scripts to start from. The green words come from your list.

Service due

A week or two before the visit is due

“Hi Sarah, it’s Heather at Hillside Auto service. Your Equinox is coming due for its regular maintenance, and we have openings next week. Most visits take about an hour. Call me back at 587-331-9189 and I’ll get you booked in.”

Declined work

Three to four weeks after the visit

“Hi Marcus, it’s Dave at Hillside Auto service. When your Silverado was in, we flagged the rear brakes. No rush, but the estimate is still on file, and it’s worth doing before winter. Call me back at 587-331-9189 and we’ll get it done in one visit.”

The second reminder

A few days after the first, to anyone who hasn’t called

“Hi Sarah, it’s Heather again at Hillside Auto. Just making sure my message about your Equinox found you. I’m holding a couple of openings this week. Call me back at 587-331-9189 and I’ll find you a time.”

Your DMS. Export the customers due for service as a spreadsheet, with their names, numbers and the fields you want spoken, like vehicle and advisor. Any system that exports a CSV works, and numbers outside Canada are set aside before anything is produced.

Yes. Clone the advisor’s voice from a short reading, with their written permission, and every take says the customer’s name and vehicle in that voice. Every account includes three cloned voices, and a library of house voices is always there too.

Once for each visit that comes due, with one follow-up voicemail a few days later to the people the first one reached who haven’t called back, replied or opted out. Anyone who answers leaves the sequence on their own.

One credit for each delivered voicemail, from a prepaid bundle. A voicemail that doesn’t land comes back to your balance, and credits last 12 months. A message for each customer costs the same as one take for everyone.

Every campaign follows the same rules: your customers’ permission comes first, a person on the team checks every campaign before it sends, voicemails go out only inside regulated calling hours, and an opt-out is honoured across your whole account. Nothing here is legal advice; for a question about your own list, ask the team. The rules themselves, in plain words: Are voicemail drops legal in Canada?

Yes. Add a campaign line to your account ($10 a month): one local number that signs your voicemails and, about seven to nine minutes after a delivered voicemail, sends a short text to mobiles only, between 9 AM and 9 PM their time. Replies land in your dashboard Inbox and your team answers from the same number. One STOP stops the texts and the voicemails together.

Nothing extra: it's included with every bundle. One credit per delivered voicemail covers the voicemail and its follow-up text, misses come back to your balance, and replies cost nothing. One text per voicemail, never a second.
